WhatsApp Automation Singapore: Replies, Leads, Orders
What can be automated on WhatsApp Business without annoying customers, the difference between a chatbot and an assisted reply, and what it takes to set up.
6 min readWhatsApp automation means the repeat work on your business WhatsApp is done by software: logging every new enquiry, sending the first reply, drafting answers from your price list, turning order messages into orders, and alerting the right person. Customers still talk to a human. The human just stops typing the same things.
Key takeaways
- Automate the logging and the first reply. Keep the conversation human.
- An assisted reply, drafted by AI and checked by staff, beats a chatbot for most SMEs.
- Every enquiry must land somewhere other than one person's phone.
- Order messages can become draft orders and billing messages without retyping.
- The WhatsApp Business app is enough for one person. Two or more staff need the API or a shared inbox.
What to automate on WhatsApp
| Job | What happens |
|---|---|
| New enquiry | Logged to your CRM or sheet with number, name and message. Owner gets an alert. |
| First reply | Sent within seconds, in your words, with the one question you always ask. |
| Price and availability questions | A reply is drafted from your price list and stock. Staff check and send. |
| Order messages | Items and quantities read into a draft order. A tidy billing message goes back in one tap. |
| Follow-ups | Reminder to the rep on day 3 and day 7. Message drafted, rep sends. |
| After hours | Acknowledgement now, human reply next morning, nothing missed. |
| Internal alerts | New lead, new tender, low stock, failed payment, sent to the owner on WhatsApp. |
Chatbot or assisted reply
A chatbot answers the customer with no person in the loop. An assisted reply drafts the answer and a person sends it. For most Singapore SMEs the assisted reply is the right choice.
| Chatbot | Assisted reply | |
|---|---|---|
| Who the customer talks to | Software | Your staff |
| Wrong answers | Go straight to the customer | Caught before sending |
| Good for | High volume, simple questions, opening hours, order status | Quotes, availability, anything with judgement |
| Set-up | Needs a full question and answer set maintained | Needs your price list and policies |
| Customer reaction in SG | Often "can I talk to a person" | Feels like a fast human |
We build both. We usually start with assisted replies and add a chatbot only for the two or three questions that come in dozens of times a day.
WhatsApp Business app or API
- WhatsApp Business app. Free. One phone, one person. Quick replies and away messages only. Fine for a sole operator.
- WhatsApp Business API. Your number on a platform, several staff on one inbox, full automation, message logs. Small per-message fees. Needed when two or more people reply, or when messages must be logged.
- Connector on a business number. A middle option for logging and alerts on an existing number. We use this for lead lines where the volume is modest.
How we set it up
Read a week of chats. With you. We list the questions that repeat and the messages that get lost.
Pick the set-up. App, API or connector, based on staff count and volume. Quoted as one number.
Connect. Number to inbox, inbox to CRM or sheet, alerts to the owner.
Load your answers. Price list, stock, policies, tone. Drafts are checked by you before going live.
Run alongside, then train. Two weeks with staff checking every draft. Then one session and an SOP.
Cost and grant
Set-up is quoted after the chat review. The API platform and message fees are billed to you directly, typically $30 to $80 a month for a small team plus a few cents per conversation. If AI drafting is included, see AI implementation for how staff are trained on it.
WhatsApp automation with lead capture is an EDGE digital and automation activity from 30 September 2026, with support of up to 70% for SMEs. Apply before you sign. See the SME grants guide.
Frequently asked questions
Will customers know it is automated?
The first acknowledgement is clearly automatic. Everything after that is sent by your staff, so the conversation reads as human because it is.
Can we keep our existing number?
Yes, on the API or a connector. Moving to the API from the app takes a short migration and the number keeps working.
Does it work with WhatsApp groups?
Alerts and order capture can work from groups on a connector set-up. The official API is for one to one business messaging.
Can orders sent by WhatsApp go into Shopify?
Yes. A message with items and quantities becomes a draft order, stock is reserved, and a billing message is generated. This runs daily for a live-selling shop we support.
Is it allowed under PDPA?
Yes when customers message you first and you store only what you need. We set retention and access rules during set-up.
How long does set-up take?
Two to three weeks for a lead line with logging, first reply and CRM connection, including the run alongside and training.
