Use AI in Your Business Without Guessing Where to Start
You want to adopt AI but do not know how, or what the most cost effective way is. Or you just want someone to implement it. We plan it, build it, and train your staff to run it.
Where are you now?
What it looked like for three clients
Anonymised, but real. Client names are shared privately when you enquire.
A showroom business. Facebook and WhatsApp enquiries land in the CRM on their own. 80% now get a logged follow up. Before, reps missed leads in the inbox.
A retailer listing over 1,500 products. Photos and a few facts become a full listing for Shopee and TikTok. About 760 staff hours saved so far.
An e-commerce retailer. Claims and bank statements are read, matched and drafted in the accounting software. Staff approve instead of keying in.
Small teams that keep hearing about AI and have not started
Most of our clients are Singapore SMEs with 2 to 30 staff. The boss has tried ChatGPT. Nobody is sure what to use it for at work, what it costs, or whether the data is safe. So nothing happens.
Signs you are ready
- Staff spend an hour or more a day replying to the same enquiries
- Quotes and invoices are typed by hand from WhatsApp messages
- Someone keys supplier invoices into Excel or your accounting software every week
- Product listings, descriptions or reports are written from scratch each time
- You pay for Microsoft 365 or Google Workspace and use none of the AI in it
What AI actually does in an SME
Not chatbots for the sake of it. These are the jobs we see AI take over in small Singapore businesses, and what changes.
Customer replies
Before: staff type the same answers on WhatsApp and email all day. After: a draft reply appears in seconds using your price list and policies. Staff check and send.
Quotes and proposals
Before: 30 minutes per quote, copied from the last one. After: the enquiry is turned into a quote in your format in under 5 minutes. Staff review and send.
Invoices and spreadsheets
Before: supplier bills keyed into Excel or the accounting software by hand each week. After: bills are read, coded and drafted for you. Staff approve.
Product listings
Before: each listing written from scratch for Shopify, Shopee or Lazada. After: titles, descriptions and variants are drafted from a photo and a few facts.
Lead sorting
Before: every enquiry looks the same in the inbox. After: leads are tagged by what they want and how urgent, and land in your CRM or sheet.
Reports and summaries
Before: month end means a day of copying numbers. After: the sales, stock or job summary is written from your data and sent to you on schedule.

Take one, or all three in order
Each is scoped and quoted on its own. Most clients start with the review, then move to implementation.
1. AI readiness review
For "I do not know where to start". Half a day with you and your staff. We map how work flows today, pick the 3 jobs AI can take first, and cost each one. You get a one page plan with the order to do them in. Valid whether you use us for the build or not.
2. The cost effective route
For "what is the cheapest way that works?". We start with the AI already inside what you pay for: Microsoft 365 (Excel, Word, Outlook), Google Workspace, your accounting software. Then we show the monthly cost of each option side by side. If a tool will not pay for itself in the first year, we say so.
3. Implementation and training
For "just implement it for us". We build the workflow, run it alongside your staff for two weeks, fix what breaks, then train the people who will own it. You get a written SOP per workflow and all logins in your name.
Where it fits in your business
One first use per trade. These are the ones that pay back fastest. Full guides: AI for manufacturing SMEs and AI for aircon, plumbing and installation firms.
Customer sends a photo on WhatsApp. A quote in your format is drafted in minutes, not that evening.
Site reports, permit renewals and safety paperwork drafted from your templates and tracked for expiry.
Appointment and price enquiries answered in seconds, in your tone, with the booking link included.
Listings, product descriptions and order queries drafted from your catalogue. Returns handled by policy.
Orders sent by WhatsApp read into your order sheet. Delivery confirmations and invoices drafted.
Leads tagged and sent to the CRM. Proposals drafted from the enquiry and your past work.
Five steps, one person throughout
Map
We sit with the staff who do the work and write down how it flows today, step by step.
Pick
We choose the jobs where AI saves the most time for the least cost, and quote them before anything starts.
Build
We set it up in your accounts, using your data and your templates. You see it working on real cases early.
Train
Group session for the team, then one to one with the person who owns each workflow. Written SOP included.
Hand over
Logins, documents and a check in after 30 days. Support after that is optional, not required.
We train your staff, not just install a tool
Most AI projects fail after the vendor leaves. Staff go back to the old way because nobody showed them the new one properly. So training is built into every implementation, and can be booked on its own.
What the training covers
- Which tool to use for which job, and which not to bother with
- How to ask for what you want, with examples from your own work
- What to check before a draft goes to a customer
- What must never be pasted into a public AI tool, and why (PDPA)
- A one page SOP per workflow, kept in your shared drive
Certified management consultant
ZES is led by a Singapore Certified Management Consultant (SCMC), certified by TÜV SÜD PSB to the SS 680 standard EnterpriseSG requires for grant supported consultancy. Certified areas: Process Redesign, Standards Adoption, and Brand and Marketing. That means our fees on a qualifying project can be included in the grant claim, not just the software.
What is not included
So there are no surprises in the quote.
- Custom AI models. We use the tools that exist. We do not train models or write research code.
- Software subscriptions. Billed to you directly, in your name, so you own every account.
- Large system rollouts. A new ERP or a 200 seat deployment is a different kind of project. We will say so on the first call.
- Unlimited changes. Two rounds of adjustments per workflow are included, then charged by the day.
- Ongoing support. Optional after handover. Most clients do not need it once staff are trained.
Implemented by someone who uses it every day
Operator, not vendor
We run our own businesses on these tools. Bookkeeping, customer replies, listings and reporting are all done this way, daily.
One person, start to finish
The person who maps your work is the person who builds it and trains your staff. Nothing gets lost in handovers.
Your tools first
We start with what you already pay for. New software only when it earns its keep.
You own everything
Accounts, prompts, documents and SOPs are yours. You can stop working with us any time and keep it all.
