AI for Aircon, Plumbing and Installation Firms in Singapore
The enquiry arrives at 9 pm with a photo. The quote goes out two days later. The invoice is written on Sunday. Five uses of AI for aircon, plumbing, electrical, renovation and M&E contractors, with the numbers and the grant route.
9 min readAn installation or service business lives on WhatsApp. Enquiries, photos, addresses, "can you come tomorrow", "how much", "where is the invoice". The technicians are on site all day and the owner does the office at night. AI takes the reading, typing and chasing out of that, so quotes go out the same day and invoices go out the same evening.
The squeeze on a service contractor
The customer who messages three contractors at 9 pm books the one who replies first. Quotes are typed from memory after a long day. Jobs are scheduled in the owner's head. Invoices go out late, so payment comes late. And every main contractor and property manager wants bizSAFE, a risk assessment and a method statement before your team is allowed on site.
1. Enquiry to quote, same day
What it does. A customer sends a photo of the unit, the address and "how much to service 3 aircons". Within seconds they get an acknowledgement in your words. AI reads the photo and the message, works out the unit type and count, and drafts the quote from your price list. Your staff check it and send it from the same WhatsApp thread. The lead is logged to your sheet or CRM with the number and the address.
The numbers, worked example. 20 enquiries a day, 5 lost to slow replies, $120 average job. That is $600 a day, about $15,000 a month, going to the contractor who replied first. Recovering even a third of it pays for the set-up in the first month.
Honest note. The draft quote is right when the price list is right. If every job is priced from scratch, the first job is writing down your standard rates and the cases that need a site visit.
2. Scheduling and dispatch without the owner's memory
What it does. A confirmed job goes onto a job board with the address, time window and technician. The technician gets a WhatsApp with the address, the job and the customer's number the evening before. The customer gets a reminder in the morning and a "technician on the way" message when the job before finishes. No-access visits drop because the customer was reminded.
The numbers, worked example. One wasted trip a day at 90 minutes of technician time and van cost is roughly 7 hours a week. At a loaded cost of $40 an hour that is about $1,100 a month, before counting the job that could have been done in that slot.
Honest note. This is a job board and messaging, not route optimisation software. For 2 to 8 vans it is enough. Above that, a dedicated field service tool is worth looking at, and we will say so.
3. Job done to invoice sent, same evening
What it does. The technician sends a photo of the completed work and a line with parts used. AI drafts the service report and the invoice in your format, with the customer's details from the job record. The office checks and sends it with a payment link. Paid invoices post to your accounting software.
The numbers, worked example. $60,000 a month of invoicing paid two weeks earlier is $30,000 of cash in the bank sooner, permanently. Plus the Sunday back.
Honest note. Technicians must send the photo and the parts line before they leave the site. It takes two weeks of reminders. We are in the group during those two weeks.
4. Servicing reminders and contract renewals
What it does. Every completed job creates the next one. Aircon serviced in March, reminder in June. Water heater installed, one year check. Maintenance contract, renewal notice 30 days before expiry with the renewal quote attached. Messages go out on schedule in your words, and replies land with your staff.
The numbers, worked example. 2,000 past customers, 4% book from each quarterly reminder, $120 a job. That is about $9,600 a quarter, from customers you already served.
Honest note. One reminder per due date, in your name, with an easy opt out. Anything more and customers block the number. We set the frequency with you and it is enforced in the workflow.
5. Safety and compliance paperwork for every site
What it does. Main contractors and property managers ask for a risk assessment, a safe work procedure or method statement, a permit to work, a toolbox briefing record and proof of bizSAFE before your team can start. AI drafts these from your approved templates and the job details, so the site pack is ready the day the job is confirmed. Your supervisor reviews and signs.
The numbers. Half a day per project, 6 projects a month, is 3 days of a supervisor's time. The larger gain is not losing the job because the paperwork was late.
Honest note. The supervisor must walk the site and own the risk assessment. A generic RA fails the bizSAFE audit and puts your workers at risk. AI drafts from your approved templates. The competent person decides. This is how we do risk assessments for our own clients, and the same rule applies to bizSAFE Level 3.

Frequently asked questions
We only use WhatsApp. Do we need a CRM?
Not at first. A connected sheet that every enquiry logs to is enough for most firms under 10 staff. A CRM comes when two or more people sell.
Will customers get a robot?
The first acknowledgement is automatic and says so. The quote and every reply after that are sent by your staff. The conversation stays human.
Our technicians are not office people.
They send a photo and one line on WhatsApp, which they do already. Nothing else changes for them.
Can this work with our accounting software?
Yes. Invoices draft into Xero, QuickBooks and most others. Payment links can come from HitPay or your bank's PayNow.
How much does it cost?
Each workflow is quoted as one number after a half day mapping session. Software is billed to you directly. The grant covers up to 70% of qualifying cost for SMEs.
We need bizSAFE too. Can you do both?
