Order Management System for Singapore SMEs: What You Need

What an order management system does, when a spreadsheet stops being enough, the options for a small business, and how to set one up with grant support.

An order management system is one place where every order lives from the moment a customer places it to the moment it is paid and delivered. For most Singapore SMEs the right system is not a large platform. It is a simple order record connected to the channels orders come from, usually WhatsApp, a web store and a marketplace.

Key takeaways

  • You need a system when orders arrive from more than one place, or when more than one person handles them.
  • The system's job is one record per order, one status, one stock count.
  • Most SMEs already own half of it. Shopify, Xero and a sheet can be the system if they are connected.
  • WhatsApp orders are the usual gap. They need to be read into the system, not retyped.
  • Setting up an order system is an EDGE digital activity. Apply before you buy.

What an order management system does

  • Captures the order from every channel into one record: customer, items, quantity, price, delivery.
  • Tracks status. New, confirmed, paid, packed, shipped, delivered, returned.
  • Reduces stock once, and shows the same number on every channel.
  • Creates the paperwork. Invoice, packing slip, shipping label, from the record.
  • Reports. Orders per day, unpaid orders, low stock, top products, without anyone building a spreadsheet.

When a spreadsheet stops being enough

SignWhat it costs you
Orders come by WhatsApp, web store and ShopeeRetyping, missed orders, wrong quantities
Two or more staff take ordersNobody knows which are paid or packed
Stock is updated by hand on each channelOversells, refunds, bad reviews
Month end means rebuilding the numbersA day of admin, still not sure of margin
Live selling or bulk ordersOrders lost in chat, billing done at midnight

Two of these and a system pays for itself.

Your options

1

Your store platform as the system. Shopify, WooCommerce or similar already has orders, stock, invoices and reports. Add the missing channels to it: WhatsApp orders as draft orders, marketplace stock synced. Cheapest if you sell online already.

2

A connected sheet. For services, wholesale and F&B suppliers with no web store. A structured order sheet that WhatsApp and email orders are read into, with status columns, stock and billing messages generated from it. Very low running cost.

3

A dedicated order or inventory system. For multi-outlet, multi-warehouse or hundreds of orders a day. Subscription software, set up and connected to your channels and accounting. We select it with you and set it up, we do not resell it.

The usual gap is WhatsApp. Whatever the system, orders that arrive as chat messages need to be read into it. We build that step so a message with items and quantities becomes a draft order, and a tidy billing message goes back in one tap. This is one of the builds on our business automation page.

How we set it up

1

Map the order flow. Every channel, every person, every status, as it works today. Half a day.

2

Choose the system. One of the three options above. Quoted as one number.

3

Connect the channels. WhatsApp, web store, marketplaces, payment, accounting.

4

Load stock and run alongside. Two weeks with staff checking every order.

5

Train and hand over. One session for the team, SOP per step, all logins in your name.

How ZES supports this. We map how the work is done today, pick what to automate first, quote it per workflow, build it in your accounts, run it alongside your staff for two weeks and train the person who owns it. See the nine builds already running on our business automation page. Grant fit is checked at the same time.

Cost and grant

Set-up is quoted after the mapping session. Software is billed to you directly. Option 1 and 2 usually run on tools you already pay for plus under $100 a month. Option 3 depends on the software chosen.

Order and inventory systems are a standard PSG item until 29 September 2026. From 30 September they are an EDGE digital activity with support of up to 70% for SMEs. See what replaced PSG and the SME grants guide. Apply before you buy.

How to choose an order management system

Whichever of the three options you take, ask these before you commit.

AskGood answer
1. Can every channel we sell on feed it?WhatsApp, web store and each marketplace listed, with how each connects.
2. Does stock reduce once and update everywhere?Yes, with the sync interval stated in minutes, not "nightly".
3. Can it create invoices and packing slips, and post to our accounting software?Yes, shown live on a test order.
4. What does it cost to run per month, all in?Software, per-order fees and connectors in one number.
5. Who loads our stock and trains staff?A named person, with an SOP per step.
6. Can we get our order history out?Export any time, in a format your accountant can read.

Red flags

  • "Custom development" for WhatsApp orders. The system was built for web orders only.
  • Per-order fees not stated. They add up faster than the subscription.
  • Stock sync by nightly file. You will oversell during the day.
  • No export. Your history is theirs.
  • Nobody to call when an order is stuck. Ask who answers on a Saturday.

We map your order flow first, then choose with you. We do not resell any order system, so the advice is not tied to a product.

Frequently asked questions

Can Shopify be our order management system?

Yes for most online retailers. It handles orders, stock, invoices and reports. The work is connecting WhatsApp and marketplace orders into it and keeping stock in sync.

How do I choose an order management system?

Start from where your orders come from and whether each channel can feed the system on its own. Then check stock sync timing, accounting connection, all-in monthly cost and export. The questions table above covers what to ask.

We take orders on WhatsApp only. Do we need a system?

If more than one person handles orders or you pack more than 20 a day, yes. A connected order sheet is usually enough and costs very little to run.

Does it connect to Xero?

Yes. Paid orders can create the invoice or the sales record in your accounting software so month end is a check, not a rebuild.

Can it sync stock with Shopee and Lazada?

Yes. We run this for a fashion label across a web store and a marketplace. Stock reduces once and updates on both within minutes.

How long does set-up take?

Option 1 or 2 is usually live within three weeks. A dedicated system takes longer depending on stock loading and staff training.

Is the grant available for the set-up work?

Set-up and configuration are part of the project cost. Where the activity requires a certified consultant the consultancy is claimable too. We confirm against the live EDGE list.
