What an order management system does, when a spreadsheet stops being enough, the options for a small business, and how to set one up with grant support.

For most Singapore SMEs the right system is not a large platform. It is a simple order record connected to the channels orders come from, usually WhatsApp, a web store and a marketplace.

What an order management system does
- Captures the order from every channel into one record: customer, items, quantity, price, delivery.
- Tracks status. New, confirmed, paid, packed, shipped, delivered, returned.
- Reduces stock once, and shows the same number on every channel.
- Creates the paperwork. Invoice, packing slip, shipping label, from the record.
- Reports. Orders per day, unpaid orders, low stock, top products, without anyone building a spreadsheet.

Two of these and a system pays for itself.
Your options
Your store platform as the system. Shopify, WooCommerce or similar already has orders, stock, invoices and reports. Add the missing channels to it: WhatsApp orders as draft orders, marketplace stock synced. Cheapest if you sell online already.
A connected sheet. For services, wholesale and F&B suppliers with no web store. A structured order sheet that WhatsApp and email orders are read into, with status columns, stock and billing messages generated from it. Very low running cost.
A dedicated order or inventory system. For multi-outlet, multi-warehouse or hundreds of orders a day. Subscription software, set up and connected to your channels and accounting. We select it with you and set it up, we do not resell it.

Cost and grant
Set-up is quoted after the mapping session. Software is billed to you directly. Option 1 and 2 usually run on tools you already pay for plus under $100 a month. Option 3 depends on the software chosen.

Red flags
- "Custom development" for WhatsApp orders. The system was built for web orders only.
- Per-order fees not stated. They add up faster than the subscription.
- Stock sync by nightly file. You will oversell during the day.
- No export. Your history is theirs.
- Nobody to call when an order is stuck. Ask who answers on a Saturday.

Yes for most online retailers. It handles orders, stock, invoices and reports. The work is connecting WhatsApp and marketplace orders into it and keeping stock in sync.
How do I choose an order management system?

We take orders on WhatsApp only. Do we need a system?
If more than one person handles orders or you pack more than 20 a day, yes. A connected order sheet is usually enough and costs very little to run.
Does it connect to Xero?
Yes. Paid orders can create the invoice or the sales record in your accounting software so month end is a check, not a rebuild.
Can it sync stock with Shopee and Lazada?

How long does set-up take?
Option 1 or 2 is usually live within three weeks. A dedicated system takes longer depending on stock loading and staff training.
